Policies

Summaries of our key policies. Full versions are available on request.

Note for the charity: these are starting-point summaries. Have them reviewed by a solicitor (UK) and attorney (US) before launch, then remove this notice.

Privacy policy

[Charity Name] is the data controller for personal information collected through this website. We collect information you give us when you apply for support, donate, partner with us or contact us.

What we collect and why

  • Applicants: identity, contact details, household and financial circumstances, and supporting evidence, used to assess your application and prevent fraud. Legal basis: legitimate interests and, for special category data such as health, explicit consent.
  • Donors: name, contact details, payment information (processed by our payment provider, never stored by us), used to process your gift, issue receipts and meet tax and accounting rules.
  • Partners and enquirers: name, organisation and contact details, used to respond to you.

Sharing

We share data only with service providers acting on our instructions (payment processing, email, secure storage), with referral partners where you have consented, and where required by law. We do not sell or swap personal data. Data may be transferred between our UK and US entities under appropriate safeguards.

Retention

Application records are kept for six years after the decision. Donor records are kept for seven years to meet tax requirements. Enquiries are kept for two years.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, object to processing, or withdraw consent. Contact service@newyorkjets.com. UK residents can complain to the Information Commissioner's Office. US residents may have additional rights under state privacy laws.

Cookies

This site sets no tracking cookies by default. If analytics or donation tools are added, a consent banner will be shown before any non-essential cookies are set.

Safeguarding

We are committed to protecting children and adults at risk in everything we do. All staff, trustees and volunteers who have contact with applicants complete safeguarding training and appropriate background checks (DBS in the UK; state and federal checks in the US).

  • We have a named Safeguarding Lead and a named trustee with safeguarding oversight.
  • Concerns are recorded, assessed within one working day, and referred to statutory services where required.
  • We will act on a concern even where doing so overrides confidentiality, if someone is at risk of serious harm.

Report a concern: safeguarding@newyorkjets.com. If someone is in immediate danger, call 999 (UK) or 911 (US).

Complaints

If we get something wrong, we want to know. Email service@newyorkjets.com with "Complaint" in the subject, or write to either registered office.

  • Stage 1: acknowledged within 3 working days and answered by a manager within 10 working days.
  • Stage 2: if you are not satisfied, a trustee reviews the complaint within 20 working days.
  • External: fundraising complaints in the UK can go to the Fundraising Regulator; serious concerns about the charity can go to the Charity Commission. In the US, complaints can be made to the state Attorney General's charities bureau.

Accessibility

We want this website to be usable by everyone. It is built to WCAG 2.2 AA principles: keyboard navigable, with sufficient colour contrast, descriptive links and labelled forms. If something does not work for you, or you need information in large print, easy read, another language or by phone, contact us and we will provide it.
